Welcome! Here’s What to Know Before Your First Visit

We’re so glad you’re considering care with us. To help make your experience as smooth as possible, we’ve outlined a few important details about scheduling, billing, and getting started. If you have any questions along the way, please don’t hesitate to reach out — we’re here to help.

Initial Consultation Deposit & Cancellation Policy

To reserve your first appointment, we require a non-refundable deposit at the time of booking. This amount will be applied toward the total cost of your initial consultation.

If you need to reschedule, no problem — your deposit will remain valid for up to five (5) months from your original appointment date. After that time, a new deposit will be required to schedule another visit.

Cancellations and Missed Appointments:
We understand that life happens. If you need to cancel or miss your appointment, we ask for at least five (5) business days’ notice to avoid forfeiting the full session fee. This policy helps us stay available for other patients who may be waiting for care and encourage accountability in scheduling.

Just a note: Payment of your deposit and consultation fee does not establish a doctor–patient relationship. We encourage you to attend all scheduled visits and work closely with your clinician to support consistent, effective care.

Our Patient Portal: Easy, Secure, and Convenient

We use OnPatient, a secure and user-friendly portal that makes managing your care simple. Once registered, you’ll be able to:

  • Schedule and reschedule appointments
  • Securely message your provider
  • Access and download superbills for insurance or personal records
  • Keep your contact and medical information up to date

The portal helps us stay connected and ensures you always have quick access to your care information.

Payment & Insurance Information

Our practice is out-of-network, which means we don’t bill insurance directly. However, if your plan offers out-of-network mental health benefits, you may be eligible for partial reimbursement after submitting a superbill. Reimbursements, if available, are usually issued directly to you by your insurance provider after your deductible has been met.

We’re happy to provide detailed superbills for all appointments — just let us know!

Please Note:

  • Patients are responsible for all service fees, regardless of insurance coverage
  • Payment is due at the time of service
  • We accept cash, checks, and all major credit cards
  • If a balance remains unpaid for more than 30 days, future appointments may be paused until it’s resolved

We encourage you to contact your insurance provider ahead of time so you’ll know exactly what your plan covers.

Sunshine Act

The Open Payments database is a federal tool used to search payments made by drug and device companies to physicians and teaching hospitals. It can be found at https://openpaymentsdata.cms.gov

For informational purposes only, a link to the federal Centers for Medicare and Medicaid Services (CMS) Open Payments web page is provided here. The federal Physician Payments Sunshine Act requires that detailed information about payment and other payments of value worth over ten dollars ($10) from manufacturers of drugs, medical devices, and biologics to physicians and teaching hospitals be made available to the public.

Good Faith Estimates & The No Surprises Act

As part of the No Surprises Act, we’re committed to transparency. We provide Good Faith Estimates (GFEs) to patients who are:

  • Uninsured
  • Self-pay
  • Choosing not to submit insurance claims

A GFE gives you a clear understanding of what your care may cost and includes:

  • Your name and provider information
  • A detailed list of expected services and fees
  • An overview of your care plan

If you ever have questions about this estimate or your coverage, we’re always happy to walk you through it.

Thank you for taking the time to review these details. We know that beginning or continuing care is a big step, and we’re honored to support you on your journey. Please reach out any time — we’re here to help every step of the way.
